Data we collect
We collect the information you give us and the information created when you use the platform:
- Account details: name, work email, company name, role, IEC and the plan you choose.
- Shipment data: buyers, consignees, notify parties, products, HS codes, quantities, prices, terms, ports, containers and vessels.
- Documents you upload or generate, such as invoices, packing lists, letters of credit, bills of lading and certificates.
- Incentive and payment records, such as shipping bill references, drawback and RoDTEP status and realisation dates.
- Usage data: pages visited, actions taken, device and browser type, and IP address, used for security and service quality.
How we use it
- To run the modules you use: building documents, suggesting HS codes, checking LC terms, tracking containers and preparing reports.
- To send account emails, including login credentials, security notices and billing.
- To answer enquiries sent through the Trade Desk or signup forms.
- To keep the service secure, detect misuse and fix faults.
We do not sell your data. We do not show your buyers, prices or shipment details to other exporters on the platform.
AI processing
Product descriptions and LC text are processed by AI models to produce HS code suggestions and LC checks. Your shipment data is not used to train models that are shared with other customers. Suggestions are reviewed by you and your customs broker before use.
Who can see your data
- People in your account, according to the roles you give them.
- Partners you invite, such as forwarders, customs brokers and chartered accountants, limited to the shipments you share.
- Buyers who receive a tracking link, limited to the tracking details and documents you choose to share.
- Service providers that host, secure and deliver the platform and our emails, under confidentiality obligations.
- Authorities, where disclosure is required by law.
Security
Data is encrypted in transit and at rest. Access to production systems is limited to staff who need it to operate the service and is logged. You can remove a partner's access to a shipment at any time.
Retention
Shipment records and documents are kept while your account is active so that you can meet record-keeping requirements for exports and imports. When you close your account, you can download your data first. We delete it within 90 days unless the law requires us to keep it longer.
Your rights
Under the Digital Personal Data Protection Act, 2023 and other applicable laws, you can ask to access, correct or erase your personal data, withdraw consent and raise a grievance. Send requests through the Trade Desk and we will respond within the period the law sets.
Cookies
We use cookies needed to keep you signed in, protect forms from automated abuse and remember your preferences. We do not use advertising cookies.
Changes
If we change this policy in a way that affects how your data is used, we will tell account owners by email before the change applies.
